Work with a writing team

Invite collaborators, set content access, and share a live writing session.

Browser editing requires a purchased license and Workspace sync. Desktop writing needs an active trial or license, without sync. Reading, search, and export of available work remain accessible. Check access requirements.

Choose the Workspace

A Workspace is the team and sync boundary. Put shared Worlds in the intended team Workspace; a local-only World is not shared merely because you sign in. Your Personal Workspace cannot take collaborators, and team Workspace Worlds are sync-only, with no local World folder.

Workspace sync includes the owner. Extra collaborator seats are purchased capacity, not extra devices. Invitations reserve already-purchased seats; sending an invitation does not silently increase the bill.

Invite and set access

  1. In your account in the web app, open Workspaces and find Members and invitations for the team Workspace.
  2. Check seat capacity, then invite the intended email address.
  3. Choose a team role: Read, Write, Export, or Admin. Each includes the ones before it: Write adds editing, Export adds manuscript export. Review pending invitations as well as existing members when checking occupied seats.
  4. Give Admin only to people who should manage invitations and roles.
  5. An Admin can remove members with Remove. Removing a member does not itself remove paid seat capacity; adjust seats separately in billing if needed.

Write together

Open a shared World and the same chapter while connected. When live collaboration is available, the editor shares updates and displays collaborator presence. Check the collaboration state before assuming another person can see your latest typing.

An alternate chapter version is a saved draft, not a live co-editing session. Leave live collaboration before promoting an alternate to the main manuscript.

Understand access limits

Read allows review without editing. Browser collaborators need their own purchased app license, membership in a subscribed Workspace, and at least the Write role. Paying for a seat or accepting an invitation does not replace the license or override a Read role. On desktop, an expired unlicensed trial can also block writing.

Removing access stops authorized future access; it cannot retract copies someone already downloaded or text they copied. Share a compiled manuscript instead of an entire editable World when that is all the recipient needs.
